Worse, retention quietly leaks away: follow-ups get missed, treatment packages expire unused, and there's no system nudging patients back in before that revenue is gone for good.

We connected three platforms into a single seamless workflow: WhatsApp as the patient-facing frontend, Cliniko as the source of truth for records and invoicing, and monday.com as the operational backend tracking queues, statuses, and commissions — with an AI receptionist tying it all together.
Frictionless patient onboarding
A new patient fills a short registration form directly on WhatsApp. It lands on a branch-specific monday.com board as "Pending," which automatically generates their Cliniko profile — minimizing manual entry from day one.
Intelligent appointment scheduling
The AI books appointments through natural conversation, governed by smart logic: mobile numbers act as a unique identity key, standard appointments run 15 minutes (with certain visit types auto-blocking 30), and specific time slots are reserved daily for new patients only, auto-releasing if unbooked.
Zero-touch modifications and cancellations
When a patient requests a change on WhatsApp, the system updates the monday.com status, deletes the original Cliniko appointment, and — if rescheduling — generates a new pending entry with the requested time, all without staff involvement.
Modernized arrival experience
Patients check in with a QR code scan. Cliniko instantly marks them "Arrived," monday.com starts automated time-tracking, and they're added to a live Patient Queue board visible to practitioners at their specific branch.
Automated payment syncing and feedback
Once the front desk closes out a Cliniko invoice, the payment automatically syncs to monday.com's Payment board — no retyping into Excel. When the visit is marked "Completed," a WhatsApp follow-up fires automatically, requesting a star rating and showing the patient's remaining package balance and expiry date.
Smart retention and practitioner dashboards
A rules-based engine sends confirmations, QR reminders, and final warnings before each visit, then check-in and expiry reminders after — driving patients back to book again. Meanwhile, practitioner revenue from closed invoices flows automatically into private, individual monday.com boards, with commissions auto-calculated and irrelevant payments filtered out.
