Someone opens Stripe, retypes the client name, email and phone from the board, adds each line item one at a time, sends the invoice, copies the payment link back onto the item, and then checks Stripe every few days to see whether it cleared. Nothing is hard on its own. Together it eats hours every week and it fails quietly. Invoices go out with the wrong amount, duplicate customers pile up in Stripe, payment links never make it back to the board, and paid invoices sit marked unpaid because nobody remembered to update the status.
The information needed to raise the invoice is already sitting on monday.com. The fix is not more discipline. It is connecting the board to Stripe so the invoice builds itself from data your team has already entered once.
Here is exactly what happens once your board is connected to Stripe through Make.com. Every step is automated and visible on the item.
Your team fills in the client details on the board and adds a sub item for each line item they want billed. Setting the Generate Invoice status column to Yes is the only trigger. Nothing else on the board fires the automation, so editing a phone number never sends an invoice by accident.
The workflow searches Stripe for an existing customer before it creates anything. If the client already exists, their Stripe ID is reused so the billing history stays in one place. If they are new, the customer record is created from the item using the name, email and phone already on the board.
Each sub item on the board becomes a Stripe line item. The workflow loops through them, aggregates the result, and produces a single invoice with all the lines on it, not one invoice per line. Quantities, rates and totals come straight from the columns your team filled in.
Stripe finalises the draft and sends it, so nobody has to press send. If the board has a due date, the invoice uses it. If that column is empty, the workflow falls back to a sensible default such as seven days, which you choose during the build.
The hosted Stripe invoice URL and the invoice ID land on the same monday.com row within seconds, and the status moves to Sent. An update is posted to the item so there is an audit trail of exactly when the invoice went out and to which address.
A second workflow listens to Stripe. The moment the invoice is paid, it finds the matching row using the stored invoice ID and flips the Invoice Paid status to Paid. No more opening Stripe to check who has settled up.
If the item has no client email, the workflow does not fail silently. It posts an update directly on the monday.com item telling your team exactly what is missing, so they can fix it and set the status again. This is the part most DIY builds skip, and it is the part that keeps the system trustworthy.
